Effective communication is the cornerstone of any successful organization.

However, when miscommunication occurs, it can lead to conflicts that can disrupt teamwork, hinder productivity, and damage relationships. As an impact, miscommunication can manifest in various forms, such as unclear instructions, misinterpreted tone or body language, or failure to convey important information. These breakdowns in communication can create confusion, frustration, and resentment among team members. When left unaddressed, they can escalate into conflicts that erode trust and cooperation within the organization.

This is a real situation happens to me, a conflict arising from miscommunication, focusing on the characters involved, the root cause of the conflict, its symptoms, development, steps taken to resolve it, and the outcome of those efforts.

Cause of the Conflict
The conflict stemmed from a misinterpretation and unawareness of aboubaker about the subject in a QMS Meeting. Since that day our director is not available to lead the meeting, so I invited Aboubaker to be there. He is aware about the QMS activities but I am working on operation side of the project and Aboubaker is not much engage with it. During the meeting I started the agenda and discuss all action needed. While aboubaker stopped me from talking and decide for any solution in the action Items. I know he is not aware about the topics and mitigation plan, but he insists, since I am lower his position, I kept quiet. This miscommunication led to delays in the project timeline and heightened tension between us team members.

Symptoms of the Conflict

Increased tension and frustration between Me and Aboubaker

Development of the Conflict – As the miscommunication persisted and the project timeline continued to be disrupted, the conflict between Me and Aboubaker escalated. I felt undermined by AbouBaker’s lack of understanding, while I felt overwhelmed and unsupported in this role. The rift between us team members created a ripple effect within the team, impacting overall morale and performance.

Steps Taken to Resolve the Conflict:

Facilitated dialogue – First attempt, he called me and talk about the issue, instead of telling me or say sorry he blamed me for unprofessionalism in the meeting. 2nd, Faustino, the team leader, organized a meeting between Me and Aboubaker to address the communication breakdown and clarify expectations.

Active listening – Both me and Aboubaker actively listened to each other’s perspectives and sought to understand the root of the miscommunication.

Setting clear expectations – I reiterated the QMS objectives and provided additional guidance to Aboubaker to ensure alignment on tasks and timelines.

Outcome of the Conflict Resolution Efforts – The open dialogue and efforts to clarify expectations helped me and Aboubaker better understand each other’s communication styles and expectations. As a result, were able to realign our approaches, improve collaboration, and meet project deadlines more effectively. While the conflict initially hampered team dynamics, the proactive steps taken to address the miscommunication ultimately led to a stronger, more cohesive team.

Miscommunication can be a silent saboteur in any organization, sowing seeds of conflict that can disrupt teamwork and hinder success.
